Privacy Policy
Last updated: February 2025
This Privacy Policy describes how SimRoster collects, uses, stores, and discloses information when you use our services, including our website and application. By using our services, you agree to the practices described in this policy. If you do not agree, do not use our services. We encourage you to read this policy in full and to review it periodically, as we may update it from time to time.
1. Information We Collect
We collect information that you provide directly to us when you create an account, sign up for a waitlist, subscribe to a plan, or contact support. This may include your name, email address, and any other information you choose to provide in optional fields, such as preferences or feedback. We use this information to create and manage your account, to process your subscription, and to communicate with you about our services.
We also collect information that is generated when you use our services, such as account activity, preferences, usage data (for example, which features you use and how often), and log data (such as IP address, browser type, and access times). We may collect information from devices you use to access our services, including browser type, operating system, device identifiers, and similar technical data. We do not collect more information than is reasonably necessary to provide and improve our services, to maintain security, and to comply with our legal obligations.
Information you provide in optional fields, feedback, or support communications may be retained and used to improve our services and to respond to you. You are responsible for the accuracy of the information you provide. If you do not provide certain information, we may not be able to provide you with the full range of services or support.
We do not knowingly collect sensitive categories of personal information (such as health, race, religion, or political opinions) unless you voluntarily provide such information (for example in free-text feedback). Where we process such information, we do so in accordance with applicable law and only for the purposes for which you provided it. We encourage you not to share sensitive personal information unless necessary for your use of the service.
2. How We Use Your Information
We use the information we collect to provide, maintain, and improve our services. We use it to process your account and subscription, to communicate with you about your account or our services, and to respond to your requests. We use your information to authenticate you when you sign in and to personalize your experience within the service, such as by displaying your chosen airline theme and progress.
We may use your information to send you service-related notices (for example, about changes to our terms or about your subscription) and, where permitted and where you have opted in, marketing communications. We use information to detect, prevent, and address fraud, abuse, or security issues and to enforce our terms and policies. We may use aggregated or de-identified information for analytics, research, and product improvement. We do not use your information for purposes incompatible with those described here without your consent.
We may use your information to comply with legal obligations, including responding to lawful requests from public authorities. Where we rely on your consent for a specific use, you may withdraw that consent at any time without affecting the lawfulness of processing based on consent before its withdrawal. Where we rely on other legal bases (such as contract performance or legitimate interests), we will use your information only as necessary for those purposes.
3. Payment and Billing Information
When you subscribe to a paid plan, payment and billing are processed by third-party payment providers. We do not store your full payment card details on our systems. The payment providers we use collect and process payment information in accordance with their own privacy policies and applicable law. You should review the privacy practices of any payment provider before submitting payment information.
We may receive from payment providers limited information such as the fact that a payment was completed, the plan you selected, the billing period, and the status of your subscription (for example, active, cancelled, or past due). We use this information only to manage your subscription and to provide access to the service. We do not retain sensitive payment data beyond what is necessary to display billing status in your account and to resolve billing disputes or support requests.
Subscription pricing is set at $4.99 per month or $59 per year. Billing cycles and renewal terms are governed by the terms you accept at the time of purchase and by the payment provider's terms. We do not sell or share your payment information with third parties for their own marketing purposes. Any sharing with service providers is limited to what is necessary to process payments and to manage your subscription.
4. Information Sharing and Disclosure
We do not sell your personal information. We may share your information with service providers that perform services on our behalf, such as hosting, analytics, and customer support. These providers are contractually required to use your information only for the purposes we specify and to protect it in accordance with this policy. We use service providers that we believe maintain appropriate technical and organizational measures to protect your data.
We may disclose your information if required by law, court order, or government request, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or security issues. In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the same privacy commitments. We will notify you of any such change in ownership if required by applicable law.
We do not share your information with third parties for their own marketing purposes. Any sharing for operational purposes is limited to what is necessary to deliver the service and is subject to confidentiality and security obligations. We do not share your information with airlines or other third parties for purposes unrelated to the provision of our simulation service.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide you services. We may retain certain information after you close your account where required by law (for example, for tax or regulatory compliance), to resolve disputes, to enforce our agreements, or for legitimate business purposes (such as fraud prevention and improving our services). The retention period for such information will be no longer than necessary for those purposes.
When we no longer need your information, we will delete or anonymize it in accordance with our retention practices. Backup systems may retain copies for a limited period as part of normal backup procedures. You may request deletion of your personal information subject to applicable law and our retention obligations. We will respond to such requests in accordance with the law and our data retention policy.
Aggregated or de-identified information that can no longer be associated with you may be retained indefinitely for analytics, research, and product improvement. Such information is not considered personal information under this policy. Log data and technical records may be retained for a limited period for security, debugging, and compliance purposes before being overwritten or deleted.
6. Security
We implement technical and organizational measures designed to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include secure transmission (such as HTTPS), access controls, and secure storage practices. No method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security but we work to maintain appropriate safeguards in line with industry practice and to review our security practices periodically.
You are responsible for maintaining the confidentiality of your account credentials. You should notify us promptly of any unauthorized use of your account. We will not be liable for losses arising from unauthorized use of your account due to your failure to protect your credentials. If we become aware of a breach that is likely to result in a risk to your rights and freedoms, we will notify you and the relevant supervisory authority as required by applicable law.
7. Your Choices and Rights
You may access, update, or delete certain account information through your account settings. You may opt out of promotional emails by following the unsubscribe link in those emails. Depending on your location, you may have additional rights under applicable data protection law, such as the right to access your data, to correct inaccuracies, to request deletion, to restrict processing, to data portability, or to object to certain processing. Where our processing is based on consent, you have the right to withdraw consent at any time.
To exercise these rights, contact us at hello@simroster.com. We will respond in accordance with applicable law and within the timeframes required by your jurisdiction. You may also have the right to lodge a complaint with a supervisory authority in your country. We will not discriminate against you for exercising your privacy rights. If you are in the European Economic Area or the United Kingdom, you have the right to lodge a complaint with your local data protection authority.
8. Children
Our services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you become aware that a child has provided us with personal information, please contact us at hello@simroster.com and we will take steps to delete such information. If you are under 18, you should use our services only with the involvement of a parent or guardian. We do not sell the personal information of minors.
9. International Transfers
Your information may be transferred to and processed in countries other than your country of residence, including countries where our service providers operate. Those countries may have different data protection laws. When we transfer information, we take steps to ensure that your information receives an adequate level of protection in accordance with applicable law, including through contractual safeguards (such as standard contractual clauses) where appropriate.
By using our services, you consent to the transfer of your information to countries outside your country of residence where our service providers or we operate. If you do not consent to such transfer, you should not use our services. If you have questions about how we protect your information when it is transferred internationally, contact us at hello@simroster.com.
10. Cookies and Similar Technologies
We and our service providers may use cookies, web beacons, and similar technologies to collect information about your use of our services. Cookies are small data files stored on your device. We use these technologies to operate our services, to remember your preferences, to understand how you use our services, and to improve our offerings. For example, we may use session cookies to keep you signed in and to remember your choices during a session.
You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of our services (for example, you may need to sign in again more frequently). We do not use cookies for advertising purposes unrelated to the operation of our services. Session cookies expire when you close your browser; persistent cookies may remain until they expire or you delete them. We do not use cookies to track you across third-party websites for advertising.
We may use local storage (such as HTML5 local storage) to store preferences and session-related data on your device. This data is not transmitted to our servers except as part of normal use of the service (for example when you make a request that requires authentication). You can clear local storage through your browser or device settings. We may also use server logs to record requests, IP addresses, and similar technical data for security and operational purposes.
11. Third-Party Links and Services
Our services may contain links to third-party websites or integrate with third-party services (for example, payment providers or platforms that host content we reference). This Privacy Policy does not apply to those third parties. We are not responsible for the privacy practices of third parties. We encourage you to read the privacy policies of any third-party services you use. The inclusion of airline names, logos, or other third-party indicia in our service is for simulation and thematic purposes only and does not mean that those third parties collect or process your data through our service.
Including a link or integration does not imply our endorsement of the linked site or service. Your use of third-party services is at your own risk and subject to their terms and policies. We do not control what data third parties collect when you interact with them.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website or through our application, and we may also notify you by email or other means where required by law. The "Last updated" date at the top indicates when the policy was last revised. We encourage you to review this policy periodically so that you are aware of how we protect your information.
Your continued use of our services after changes become effective constitutes your acceptance of the revised policy. If you do not agree to the updated policy, you must stop using our services and may close your account. If we make material changes that affect how we use personal information we have already collected, we may provide additional notice or seek your consent where required by law.
13. Data Transfers and Safeguards
When we or our service providers process your information in a country other than your country of residence, we take steps to ensure that your information receives an adequate level of protection. Such steps may include contractual commitments (such as standard contractual clauses approved by relevant authorities), adequacy decisions where applicable, or other legally recognized transfer mechanisms. If you would like more information about the safeguards we use for international transfers, please contact us at hello@simroster.com.
14. Contact Us
If you have questions about this Privacy Policy or our privacy practices, contact us at hello@simroster.com. We will respond to your request in accordance with applicable law. For requests related to your personal information or to exercise your rights, please include enough detail for us to identify you and process your request (for example, the email address associated with your account). We may need to verify your identity before processing certain requests.
We aim to respond to privacy-related inquiries within a reasonable time as required by applicable law. If you are not satisfied with our response, you may have the right to lodge a complaint with a supervisory authority in your country of residence. This Privacy Policy may be updated from time to time; the "Last updated" date at the top of this page indicates when it was last revised. We encourage you to review this policy periodically.
